We record how the product is used, for example which suggestions you accept and what happens after (jobs, schedules, prices and results), and the texts and emails sent and received through BY5. We remove names, phone numbers, email addresses and other contact details first, then combine this across businesses to improve BY5, including its AI features. We never sell personal data, and we never use card details, passwords or call recordings for this. You can switch it off anytime in Settings.
This Privacy Policy explains how The Reliable Cleaners LLC ("we", "us", or "our"), based in Maine, USA, collects, uses, and shares information in connection with the BY5 field-service software platform (the "Service"). It applies to the businesses that use the Service ("you") and to the people whose information you put into it. This is an interim policy and will be updated as our final, counsel-reviewed policy is completed.
We collect: (a) account information you provide when you register (name, business name, email, password); (b) business data you enter to run your business in the Service (clients, quotes, invoices, schedules, crew, inventory, and similar records); (c) customer data you upload about the people and businesses you serve; (d) usage and device data generated as you use the Service (log data, approximate location from IP, basic device/browser details); and (e) payment information, which is processed by our payment processor — we do not store full card numbers.
We use information to provide, operate, secure, and improve the Service; to process billing and subscriptions; to provide support and send service-related communications; to detect and prevent fraud and abuse; and to comply with legal obligations. We do not use your customers' personal information for our own advertising, and we do not sell personal information.
The Service may compute anonymized, aggregated statistics — for example, typical pricing margins and win rates for similar jobs — and share those aggregates across customers so you can compare your performance to the wider network. Only de-identified, aggregated figures are shared: never your raw records, your customers' identities, or any client-identifying detail. Participation is reciprocal (you see network aggregates only while contributing to them) and you can turn it off at any time in your settings.
We share information with service providers (subprocessors) who help us run the Service — for example, cloud hosting, payment processing, and email delivery — under obligations to protect it. We may share information to comply with law or lawful requests, to enforce our terms, or to protect rights and safety. If we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction. We do not sell personal information.
We retain information for as long as your account is active and as needed to provide the Service, and afterward as required to meet legal, accounting, or reporting obligations. Specific retention windows are to be finalized in our final policy. You can request deletion or export of your data as described below.
We use reasonable technical and organizational measures to protect information, including tenant data isolation, access controls, and encryption in transit. No method of storage or transmission is perfectly secure, and we cannot guarantee absolute security.
You can access and update your account information in the Service, opt out of anonymized benchmarking in your settings, and request access to, correction of, export of, or deletion of your data. Depending on where you or your customers are located, additional privacy rights may apply; the specific rights and how to exercise them are to be finalized in our final policy. You own the business and customer data you put into the Service. For that data, you act as the controller and we act as your processor: we handle it on your behalf to operate the Service, following your instructions and this policy. You are responsible for having an appropriate basis to collect and use your customers' information and for your own privacy commitments to them.
The Service includes optional referral and affiliate programs. What we store depends on the program. Business referrals (one business refers another to the Service): we store the referring account, the referred account, and the referral code used — business account identifiers only. We do not store personal information about a referred business before it creates its own account. Customer referrals (a business's client refers a friend): when someone submits a referral through a business's referral link, we store the referred person's name and contact details (email and/or phone) as entered by the person making the referral. That information is used solely to create a service lead for the business whose link was used — it is not used for our own marketing and is not shared with anyone else. If you were referred and want that information removed, contact the business that received it or email us at info@trc207.com and we will delete it on request. Affiliate programs: for partners who join an affiliate program, we store the partner's name and contact details plus a ledger of referrals and commissions earned, so payouts can be calculated and audited.
We use a small number of necessary cookies to keep you signed in and to operate the Service securely. We do not use third-party advertising cookies.
The Service is for businesses and is not directed to children, and we do not knowingly collect personal information from children.
We aim to handle information in line with applicable privacy laws. Specific state-law and international provisions, including any required disclosures and the governing framework, are to be finalized in our final policy.
We may update this policy as the Service evolves and as our final, counsel-reviewed policy is completed. When we make a material change, we will update the date and version shown on this page.
